Appointments with a person and a room: instructors, consultants and training centres
If you sell time with a person, and sometimes a room or a piece of equipment, choose "Appointment-based services" when you sign up. Each provider has their own hours and services, rooms and equipment cannot be double-booked, a client can buy a package of sessions, and the invoice comes from the service price. It is a booking tool for clients: it has no medical records and it does not take online payment.

Who it serves and what it solves
An instructor or tutor with a personal timetable
The provider has weekly hours, lessons of a set length and a price per service. The desk or the client books one lesson at a time, and times already taken are crossed out.
A training centre with classrooms and a few teachers
Rooms and equipment are added by the owner. A booking can name a provider and a room together, and the room is refused if another appointment already holds it at that time.
A consultant who sells blocks of sessions
A package is a fixed number of sessions of one service, with an optional expiry. Each booking takes one, and the client's file shows how many are left.
A business that wants consent on record
Consent to the service and consent to offers and news are recorded separately, can be withdrawn at any time, and the history stays. No service depends on the marketing consent.
A realistic day
Setup, once
The owner signs up with the type "Appointment-based services", adds the providers, sets each provider's weekly hours, and enters the services with durations and prices, the rooms and the packages.
A phone call
The desk finds the client by name or phone, or adds a new one with just a name. It picks the provider, the service and, if needed, a room or equipment. The times that are taken for that provider are crossed out.
A client who buys a block
On the client's file the desk chooses a package and presses "Sell and create invoice". The package and its invoice are created together. A package priced at zero creates no invoice.
Booking online
If the owner has switched the public booking page on, the client picks a service, a provider and a free time and types a name and phone. The page says the client pays the business directly and that nothing is charged there.
On the day
On Today the provider sees the current and the next client and presses "Start the session" and "Finish the session".
A cancellation
A cancelled appointment, or one marked no-show, frees the provider and the room and gives the session back to the package.
End of the week
Invoices and payments are on the billing page. The owner can switch on expenses and the cash book if the business wants them.
Who does what
- Reception
- Books clients with providers, rooms and packages, records consents, issues invoices and takes payments.
- Practitioner
- The provider works from Today: the current and next client, and the start and finish of the session.
- Cashier
- Issues invoices, records payments and prints receipts.
- Owner
- Adds providers and sets their hours, services, rooms and the package catalogue with its prices, voids a package and switches the public booking page on.

What one appointment holds
Every booking is built from the same parts:
- One client, found by name or phone, or added with a name only.
- One provider, a person with their own weekly hours.
- One service, with its duration and price.
- Optionally, one or more rooms or pieces of equipment, which serve one appointment at a time.
- Optionally, a session from a package the client has bought for that service.
Setting up and moving over
- Sign up and choose "Appointment-based services". The owner can be booked from the start, and three neutral starter services are created with price zero.
- Add each instructor, consultant or trainer as a user with the Provider role, or mark another staff member as bookable under Bookable staff. Then set each person's hours in Provider schedules.
- Enter your services with durations and prices, your rooms and equipment, and your packages. The owner types every price; nothing is suggested.
- To take bookings online, the owner switches on the public booking page and chooses which services appear on it.
- Moving from paper or Excel: import the client list from the backup page and start with a few rows. Old appointments and old package balances are not imported.
- You need an internet connection and a phone or computer at the desk. No hardware is included.
Limits worth knowing
- An appointment holds one client with one provider. There are no group classes with a number of seats, no waiting list per room, and the system does not choose a room for you: the desk does.
- There is no online payment. The business records what it was paid, by hand, on the invoice.
- There are no gift vouchers, no memberships and no subscriptions.
- The public booking page has no package option and does not take rooms or equipment; the desk assigns both.
- The client wording covers the main screens only. The invoice print and receipts, reports, settings screens, help articles and the client portal still use medical wording such as "patient".
- The consent wording has had no legal review. Check it with your own adviser and the rules where you work before you rely on it.
- A no-show returns the session to the package. Today this is how the product works and it is not a setting, so decide whether it suits your business before you sell blocks of sessions.
- No business of this kind has used these features in daily work yet. They have been verified with demonstration data on a real database.
Questions
Is this a clinic system with the words changed?
The words change on the main screens, and the clinical parts are closed, not only renamed. Prescriptions, test results, treatment records and clinical notes are refused by the server for every user of this type.
What stops two people booking the same room?
A room serves one appointment at a time and "book anyway" cannot override it. In an automated check on a real database, 12 bookings of one room made at the same moment let exactly one through.
Can I run group classes?
Not as such. Each appointment is for one client with one provider. A class would have to be booked as separate appointments, one per client.
Can clients buy a package or pay online?
No. The public page books single appointments and takes no money. The desk sells the package from the client's file and records the payment on the invoice.
Do I have to use consents?
No. They are there if you want them: consent to the service and consent to offers and news, each recorded and withdrawn on its own. Marketing consent is never required for a service.
Is it available in Arabic, Sorani Kurdish and Persian?
Yes. The screens are in Arabic, Sorani Kurdish, Persian and English, and Arabic, Kurdish and Persian read right to left.
