One file per patient: visits, results, documents and invoices

Every patient has one file in your clinic. It holds the name, phone and allergies, the timeline of visits with their notes, tests and results, uploaded documents and the patient's invoices. Staff find it by name, phone or file number, and no other clinic can ever open it.

An open folder with sheets showing a person symbol and lines of text, a gold shield with a check mark on its cover, and a magnifying glass beside it.

Who it serves and what it solves

  • Reception that must find the right person

Search by name, phone or file number. Several patients can share one phone and a patient can have none; the file shows who else uses the same number.

  • Doctors who want the history before the patient sits down

Allergies, chronic conditions and current medicines sit at the top of the file, next to the next appointment and the last visit.

  • Clinics leaving paper files or Excel

Register patients as they arrive and attach the old reports as PDF or photo to each file. The owner can also import a list of patients from a spreadsheet.

  • Owners who decide who sees what

Each role opens only its own pages, the owner can limit one person further, and a file opens only after sign-in, for staff of the same clinic.

Who does what

Reception
Finds or creates the patient (a name is enough), books the next visit, uploads documents and opens the patient's invoices.
Practitioner
Reads the history, writes the visit note in the form of their specialty, signs it, orders tests and, if the owner allows it, writes prescriptions.
Cashier
Opens the Billing tab to see a patient's invoices and what is still owed.
Owner
Decides which pages each person opens and reads the trail of important changes.

What the product does today

  • One file per patient: name, file number, age, phone and a coloured allergy box on top, then tabs for the overview, visits, results and files, billing, and family and access.

    The patient file
  • The visits tab is a timeline: date, status, doctor, service and branch, the reason, and the note marked draft or signed. A signed note is never overwritten; a change is saved as a new version with its reason.

The consultation and the visit note
  • The visit form follows the doctor's specialty. The first five fields are the same in every form: reason, history, examination, assessment and plan. Numbers are saved as typed; nothing is calculated or suggested.

  • Tests ordered for the patient and their results sit beside uploaded documents (PDF, PNG, JPG or WebP, up to 20 MB each). Files open only after sign-in, for staff of the same clinic; no file has a public link.

    Tests and results
  • The billing tab lists the patient's invoices with their status and the amount still owed.

    Invoices and payments

Family and access: three different things

The family tab keeps apart ideas that are often mixed up. It only shows them; a relationship alone gives nobody access to the file.

  • Shared phone: a number used on more than one file, for example a mother's phone on her children's files. It is not a relationship and not a permission.
  • Relationship: who the person is to the patient, such as a mother or a guardian. A legal guardian is marked as such.
  • Access grant: explicit, limited to what it names (appointments, released results, billing or the clinical record) and it can be withdrawn. Without a grant, nobody outside the clinic team sees the file.

Setting up and moving over

  • Create patients as they arrive: a name is enough and the phone is optional. Add allergies, chronic conditions and medicines when you know them.
  • Choose each doctor's specialty under Settings, Users, so the visit form matches the practice.
  • To bring a list from Excel, the owner imports a spreadsheet with the columns fullName, phone, gender, dateOfBirth, address and allergies (gender is male, female or other). The tool lives on the Backup page, which is in early access: try two or three rows first.
  • Uploaded documents count toward your plan's storage. When it is full, a new upload is refused with a message and the files already stored are kept.

Limits worth knowing

  • A file holds typed notes and uploaded documents. It does not draw growth charts, score risks, check drug interactions or suggest a diagnosis; the clinical decision stays with the doctor.
  • Only patients are imported from a spreadsheet. Visits, invoices and documents from your old system are not.
  • You can download a copy of the clinic's data, but restoring from it has not been verified. Treat it as a readable safety copy.
  • DrOnlineIQ needs an internet connection. There is no offline mode.

Questions

Who can open a patient's file?

Staff of your clinic whose role includes the patients page: doctors, reception, cashier and assistants by default. The owner can replace a person's usual pages with a custom list. Staff of another clinic cannot open your patients, even with a copied link.

Can the patient or a relative see the file?

A patient who uses the portal sees their visits, bills and the results the doctor has released, not the whole file. A mother or guardian sees a child's results only if the clinic records an explicit, limited access grant. Portal sign-in sends a code on WhatsApp, which depends on the clinic's WhatsApp connection; that connection has not yet been tested against a live WhatsApp account.

Can a signed note be changed later?

Not by overwriting it. A change is saved as a new version together with its reason, so the signed text stays as it was.

Can I scan our paper records into the system?

Yes, one document at a time: choose the patient, open the results and files tab, give the file a name and upload the PDF or photo. Mind the plan's storage allowance.

Does it work in Arabic, Kurdish and Persian?

Yes. The screens are in Arabic, Sorani Kurdish, Persian and English, with right-to-left layout for the first three. Digits are always 0 to 9 and dates are Gregorian.
