Online video and audio visits: owner approval, a monthly minutes limit and a waiting room

An online visit is a video or audio call that the patient books from the clinic's page. The patient gets a private link and enters a waiting room, and the doctor lets them in. Patients are offered it only after the owner sets a monthly limit in minutes and switches it on for each doctor, and the call is not recorded. It is in early access: the workflow is tested with a stand-in provider, and a real call with the video provider has not been made yet.

Who it serves and what it solves

  • A doctor who offers some visits online, not all

For each of the doctor's services you choose in person, online or both, with a duration and an optional price, and online visits have their own working hours.

  • An owner who wants to control video cost

Video time is a cost charged by the provider, so the owner sets a monthly ceiling in minutes. When the month is full, patients see no new online times.

  • A patient who does not want to install an app

Booking and the call both work in the browser, from a private link. The patient allows the browser to use the camera and microphone when it asks.

  • A clinic that wants the doctor to decide who enters

The patient enters a waiting room first, and only the doctor lets them in. Reception and the owner have no automatic access to the room.

A realistic day

  1. The owner switches online visits on

Under Online visit limit the owner writes the number of minutes per month. Then, under Hours and services for each doctor, the owner adds Online hours and at least one service of the Online type, and switches on Accept online visits.

  2. The patient books

On the booking page the patient chooses Video call or Audio call and a free time, and agrees to a text that says an online consultation is not for emergencies. They can say that a guardian will attend. The confirmation page shows Your visit link.

  3. Before the visit

The visit is on the doctor's Today page with a video or audio badge and the Online visit room link. The room opens 15 minutes before the scheduled start; before that the page says it is not time yet.

  4. The waiting room

The patient presses Enter the waiting room and keeps the page open. The doctor sees Waiting to be let in and presses Let the patient in, or Do not admit, in which case the patient is told they can call the clinic.

  5. The call and the end

The doctor presses Open the room and enter and allows the camera and microphone; the patient's chart opens from the same page. Pressing End the visit closes the room for everyone; otherwise it closes by itself 15 minutes after the scheduled end.

Who does what

Reception
Books and moves the appointment like any other. Has no automatic access to the room.
Practitioner
Alone opens the room of their appointment, admits or does not admit the patient, and ends the visit. Sets their own online hours but cannot switch online visits on for themselves.
Owner
Sets the monthly limit in minutes, alone switches online visits on for each doctor, and sees booked minutes, minutes left and what the provider reports.

What the product does today

  • Online visits stay off until a video provider is set up for the system, the owner writes a monthly limit in minutes, and each doctor has online hours and an online service and has been switched on by the owner. Without a number, patients are shown nothing.Early access

The workflow is tested with a stand-in provider; a real call with the video provider has not been made yet. It needs a video-provider account to be set up.

    Set up online visits
  • At booking the patient chooses an in-person visit, a video call or an audio call. They get a private link that is shown on the confirmation page; it is not in the calendar file or in any other message.Early access

    Join an online visit
  • A private room for each appointment: the patient enters a waiting room and only the doctor admits or does not admit them, opens the room, brings up the chart and ends the visit. If the connection is weak the patient can join with audio only or rejoin.Early access

    Run an online visit
  • A monthly-limit screen: booked minutes, minutes left, and the participant minutes the provider reports. The provider bills by that last number, and it counts everyone in the room, so a call of two counts twice. A booking that would pass the limit is refused inside the booking itself.Early access

What the patient sees and is told

These are the steps a patient really goes through on the booking page and the visit page.

  • Chooses a service, a doctor, then Video call or Audio call, a date and a free time
  • Agrees that the clinic uses their name and phone number for this appointment, and reads that an online consultation is not for emergencies and that they call the local emergency service when it is urgent
  • Keeps Your visit link from the confirmation page; it is sent nowhere else and must stay private, because anyone who has it can reach their waiting room
  • Opens the link up to 15 minutes before the visit and presses Enter the waiting room
  • When the doctor lets them in, presses Start the call, or chooses Join with audio only if the connection is weak
  • Reads that the call is not recorded, in sound or picture, and that what they say is not transcribed

Inside the product

Demonstration data: no real name, phone number or patient.

  • A doctor's public page as a visitor sees it: name, specialty, a short introduction, languages spoken, training as stated by the doctor, services with duration and fee, and a booking button.

Setting up and moving over

  • The video provider is set up once for the whole system, and the clinic does not enter its keys in its own settings. Until then, online visits are not shown, even if you set a limit. If you are not sure the provider account is set up for your service, ask the DrOnlineIQ team before you announce it to patients.
  • The owner writes the monthly limit under More, then Online visit limit. Nothing works until a number is written.
  • For each doctor, under Hours and services: Online hours, at least one service of the Online type, and the owner switches on Accept online visits.
  • The doctor and the patient need a device with a camera and microphone (or only a microphone for audio), a current browser and an internet connection. Keep the telephone as the fallback: if the call service is not available, the patient is told to call the clinic.

Limits worth knowing

  • Early access: the whole workflow (booking, consent, waiting room, the doctor's admission, joining, ending, provider events) is tested with a stand-in provider and on real PostgreSQL, but a real call between two browsers through the video provider has not been made yet.
  • Not for emergencies. The booking page and the visit page tell the patient so.
  • Video time is a cost charged by the video provider and is not part of any plan price. We publish no price for it here, there is no free allowance, and nothing is topped up automatically.
  • The room opens 15 minutes before the scheduled start and closes 15 minutes after the scheduled end. It is not extended automatically, and a late patient cannot extend it. A longer visit needs a new booking. No more than four people can be in a room.
  • We do not claim end-to-end encryption or any approval or certification. The visit is not paid for on the page: the patient pays the clinic directly.

Questions

Who approves online visits?

The owner. The owner writes the monthly limit in minutes and alone switches on Accept online visits for each doctor. A doctor sets their online hours and services but cannot switch them on for themselves.

How are minutes counted, and what happens when the limit is reached?

The length of every booked visit counts. When the month is full, patients see no online times, and a booking that would pass the limit is refused inside the booking itself. The number the provider bills by can differ, because it counts every participant in the room.

Is the call recorded?

No. It is not recorded in sound or picture, nothing is transcribed, and no AI listens. Each appointment has its own private room with a random name, and no patient name or number is sent to the provider: the two participants are called Doctor and Patient.

What if the patient is late or the connection drops?

While the room is open the patient can rejoin with a button on the page, or join with audio only if the connection is weak. The room is not extended after it closes by itself, so if more time is needed a new visit is booked.

Does my clinic need its own video account?

The provider is set up for the whole system, not by each clinic in its own settings, and online visits do not appear before that. Video cost is metered and separate from the plan price, and we publish no price for it; ask our team how it is arranged before you promise it to patients.
